Who we are

QuoteLoop provides quoting, follow-up and booking software for small service businesses. When you use QuoteLoop we are the data controller for your account data, and the data processor for the customer records you store in your workspace.

What we collect

Account data: your name, email address, business details, billing information and the settings you choose.

Workspace data: the customers, enquiries, quotes, jobs and payments you record. This belongs to your business.

Technical data: log records, device and browser information, and error reports used to keep the service working.

How we use it

To provide the service, send transactional emails such as quote links and reminders, prevent abuse, support you, and meet our legal obligations. We do not sell personal data or use your workspace data to advertise to your customers.

Sharing

We use a small number of processors to run QuoteLoop: cloud hosting and database, email delivery and payment processing. Each is bound by contract to protect data and process it only on our instructions.

Retention

Workspace data is kept while your account is active. After cancellation we retain it for a limited period so you can export or restore it, then delete it. Records we must keep for tax or legal reasons are kept for the required period.

Your rights

You can access, correct, export or delete your data. Your own customers can ask you for the same, and you can action those requests inside QuoteLoop. Email support@quoteloop.app to make a request or raise a concern.

Security

Data is encrypted in transit, access is restricted by row-level security so businesses can only see their own records, quote files are stored privately and shared through expiring signed links, and administrative access is logged.
